Job Overview:

We are seeking a proactive and detail-oriented Executive Assistant to support our leadership team. This role offers a unique opportunity to engage with various departments and enhance your professional skills within a dynamic environment.

Key Responsibilities:

Calendar Management

  • Efficiently manage and prioritize calendars for executives, aligning schedules with business priorities and personal preferences.
  • Coordinate meeting logistics, including room bookings and troubleshooting AV issues.

Cross-Functional Collaboration

  • Develop strong relationships with stakeholders across multiple teams, facilitating smooth communication and collaboration.
  • Serve as a point of contact for external partners and audiences.

Team Support and Development

  • Contribute to team culture and mentor less experienced colleagues, sharing best practices and insights.
  • Assist with onboarding and training of new team members.

Recruitment and Onboarding

  • Collaborate with Global Talent Acquisition to support recruitment efforts and ensure a seamless onboarding experience for new hires.
  • Manage headcount activities, including transfers and offboarding processes.

Event Coordination

  • Plan and coordinate events, handling logistics and ensuring alignment with team objectives.
  • Track event outcomes and contribute to team morale-building initiatives.

Project Ownership

  • Execute assigned projects with minimal supervision, ensuring timely completion and effective communication of outcomes.
  • Identify challenges and recommend process improvements.

Resource and Financial Management

  • Oversee equipment and inventory management, ensuring compliance with policies for expense reporting and vendor management.
  • Assist in budget tracking and reporting in collaboration with finance teams.

Rhythm of Business (ROB) Support

  • Understand and support the team’s rhythm of business by managing scheduling and meeting logistics.
  • Recognize and communicate patterns to enhance team operations.

Space Management

  • Maintain accurate space-management processes and support office logistics, including desk assignments and relocations.

Travel Management

  • Arrange travel for executives, ensuring adherence to travel policies and maximizing itinerary efficiency.
  • Coordinate necessary travel documentation and compliance.

Qualifications:

Required:

  • 2+ years of experience in administrative, business support, or customer service roles.

Preferred:

  • 3+ years of experience in environments emphasizing meeting/event scheduling, travel management, and administrative support.
  • Associate's or Bachelor’s degree in Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology, or a related field, or equivalent experience.
  • 1+ years of experience managing administrative budgets related to events, travel, or training.
