Job description:
Business Operations Coordinator
Salary: £25,350 per year plus quarterly performance bonus
Location: Fully Remote
Hours: Monday to Friday, 9:00am to 5:30pm (1 hour unpaid lunch break)
About Us
We are a growing group of businesses operating across consultancy, sport, events, and education. Our companies support clients and customers throughout the UK and Europe, and we are entering an exciting period of growth.
We are a small, ambitious team that values initiative, accountability, and excellent service. This role offers genuine career progression for the right person. As the businesses continue to grow, there will be opportunities to take on greater responsibility and develop into an Operations Manager position.
We are looking for a Business Operations Coordinator to become a key part of the team and help keep multiple businesses running smoothly as we continue to expand.
The Role
This is not a standard admin job.
You will work directly with the Managing Director, helping to coordinate operations, manage projects, support clients and customers, and ensure that important tasks are completed efficiently across the business group.
While the role will primarily support Caring Futures, you will also assist with projects and operations across our wider businesses in the sports, events, and education sectors. This makes the role varied, fast-paced, and ideal for someone who enjoys learning new things and being involved in different types of work.
You will be responsible for helping to keep systems organized, communications flowing, projects moving forward, and priorities on track. No two days will be exactly the same.
If you enjoy being the person who keeps everything running smoothly behind the scenes, this role was written for you.
What You Will Be Doing
- Managing calendars, appointments, and scheduling across multiple businesses
- Supporting the management of client and customer pipelines to ensure cases and enquiries continue progressing
- Chasing outstanding actions with clients, customers, suppliers, and external organizations
- Collecting, checking, and organizing documents and information
- Maintaining accurate records, spreadsheets, trackers, and internal systems
- Tracking & supporting operational reporting
- Sending clear and professional updates by phone, email, and messaging platforms
- Supporting the onboarding of new clients, customers, members, and partners
- Managing routine administration for our online communities and membership programs
- Assisting with event administration, registrations, and coordination
- Supporting athlete management and customer service activities within our sports businesses
- Conducting research and gathering information for new projects and business initiatives
- Providing direct executive support to the Managing Director, including ad hoc tasks and operational assistance as required
What We Are Looking For
We want someone highly organized, proactive, and dependable.
You will ideally have:
- Excellent written and spoken English
- Strong organizational skills and exceptional attention to detail
- Confidence communicating professionally by phone, email, and video call
- The ability to manage multiple tasks and priorities without becoming overwhelmed
- Confidence using Excel, Google Workspace, email, and standard business software
- A willingness to learn new systems and processes quickly
- The ability to work independently without needing constant supervision
- A proactive mindset and a habit of solving problems rather than waiting for instructions
- Reliability, consistency, and pride in delivering high-quality work
Experience in administration, operations, executive assistance, customer service, project coordination, case management, events, education, healthcare, financial services, or similar industries would be beneficial but is not essential.
What We Offer
- Fully remote, permanent role working within UK business hours
- Laptop, mobile phone, and printer provided from day one
- Quarterly performance bonus based on individual performance and contribution to business objectives
- A varied role where no two days are identical
- Direct exposure to multiple growing businesses
- A direct line to the Managing Director and genuine influence over how the businesses operate
- Clear progression pathway into an Operations Manager position as the businesses continue to grow
- Opportunity to take on increasing responsibility and help shape the future of the organization
- A supportive, ambitious team that moves fast and gets things done
How to Apply
Send your CV and a short cover note of no more than 10 sentences to recruitment@caringfutures.co.uk.
In your cover note, tell us about a time you had to manage multiple priorities, keep people organized, or take ownership of an important project or process. We are looking for practical examples rather than generic cover letters.
Applications will be reviewed on a rolling basis and shortlisted candidates will be invited to a short video interview.
We are looking for someone who wants to grow with the business, not simply fill a position.
