We are seeking an experienced Application Consultant with specialist knowledge in legal practice management, legal billing/cashiering and document management. This role is ideal for someone who understands the financial and operational heartbeat of a legal practice - matter lifecycle, document control, billing cycles, compliance, and client accounting. You will work closely with law firms to assess requirements, implement solutions, and optimise processes across practice management, document workflows, and financial systems.

Key Responsibilities1. Client Consultation & Requirements Gathering

  • Engage with legal clients to understand practice workflows, billing models, financial controls, and document management needs.
  • Conduct workshops to capture requirements across areas such as time recording, disbursement handling, client accounting, and billing cycles.
  • Map existing cashiering processes - including client/matter ledger workflows, payment approvals, and compliance obligations - to system requirements.

2. Solution Design & Configuration

  • Configure legal billing modules, including fee earner time capture, automated billing rules, fixed-fee arrangements, and billing formats where applicable.
  • Design cashiering workflows covering client account management, office account posting, bank reconciliation, and audit reporting.
  • Implement document management configurations including security policies, metadata structures, templates, and document lifecycle rules.
  • Produce detailed configuration documentation and design specifications.

3. Implementation & Deployment

  • Lead system setup for practice management and financial modules, ensuring compliance with legal accounting standards and regulator requirements (e.g., SRA Accounts Rules).
  • Support data migration activities including chart of accounts, historical transactions, matter balances, and document repositories.
  • Facilitate integration with financial systems, document management tools, time capture apps, and payment platforms.
  • Coordinate user acceptance testing and support go‑live activities.

4. Training & User Adoption

  • Deliver training for fee earners, finance teams, and support staff on billing workflows, cashiering processes, and document management tools.
  • Provide post‑implementation support to ensure smooth adoption of new workflows.

5. Ongoing Support & Continuous Improvement

  • Troubleshoot issues across practice management, and billing/cashiering modules.
  • Analyse usage patterns and provide recommendations to improve billing efficiency, matter profitability controls, and compliance handling.
  • Monitor product updates and legal tech trends to guide clients on enhancements and optimisation opportunities.

Essential Skills & Experience

  • Hands-on experience with legal practice management systems (e.g., Aderant, Elite 3E, LEAP, or Clio).
  • Strong knowledge of legal billing, client/matter accounting, cashiering processes, and regulatory requirements (e.g., SRA, Law Society rules).
  • Experience with document management systems such as iManage, NetDocuments, or SharePoint-based solutions. (preferred)
  • Ability to gather requirements, map workflows, and translate them into system configuration.
  • Experience in system configuration, UAT, data migration, and user training.
  • Strong stakeholder management and communication skills, especially when engaging with finance teams and partners.
